Booking & Event Policy
Effective Date: August 14, 2026
Booking & Deposit
A 50% non-refundable deposit is required to secure your event date and time. Your date is not officially reserved until the deposit has been received.
Final Payment
The remaining 50% balance is due 7 days prior to the event date.
For bookings made within 7 days of the event, the full balance is due at the time of booking.
A 20% late fee will be applied to any unpaid balance after the payment deadline. If the final balance and applicable late fee are not received within the required timeframe, Mat & Mingle reserves the right to cancel the booking and retain the non-refundable deposit.
Cancellations & Rescheduling
All deposits are non-refundable. If you need to reschedule your event, please contact Mat & Mingle as soon as possible.
Rescheduling is subject to availability. The original deposit may be transferred to a new date, but the deposit will not be refunded.
Location & Weather
The event location is selected and provided by the client. Clients are responsible for ensuring the location is suitable, safe, and provides adequate space for all guests and Pilates equipment.
For outdoor events, clients are encouraged to monitor the weather forecast and have a backup indoor location available in case of unfortunate weather conditions.
If weather conditions make an outdoor event unsafe, the event may be rescheduled to an available date. The original deposit remains non-refundable and will be applied toward the rescheduled event.
Mat & Mingle reserves the right to recommend postponing or rescheduling an event when weather conditions may create an unsafe environment for the instructor or participants.
Age Policy
Participants must be 16 years or older to participate in Mat & Mingle Pilates classes.
Guests under 16 may be present at the event but are not permitted to participate in the Pilates class. If children are present, a responsible adult must remain in attendance and supervise them throughout the event. Mat & Mingle is not responsible for supervising children.
Travel Fee
The first 10 miles of travel are included with your booking.
For locations more than 10 miles away, a travel fee of $1 per mile will apply for each mile beyond the included 10 miles.
Travel fees are calculated based on the event location and included in the final booking total.
Guest Count
The final guest count must be provided before the event. Additional guests may be subject to additional fees and are only permitted if the event space and Mat & Mingle capacity allow.
Liability & Participation
Participants are responsible for informing the instructor of any injuries, physical limitations, or concerns that may affect their ability to participate safely.
By participating in a Mat & Mingle class, guests acknowledge that Pilates is a physical activity and agree to participate at their own discretion.
Late Start & Overtime Policy
Private parties include a 15-minute grace period for late arrivals or delays. If the class starts late due to the client or guests, the full scheduled class time may still be provided, with the end time adjusted accordingly.
If the class extends beyond the original scheduled end time, an overtime fee of $50 per additional 30 minutes will apply.
Event Setup
Clients are responsible for ensuring that the event location is safe, accessible, and ready for setup at the agreed-upon arrival time. Adequate space must be provided for all participants and equipment.

Changes to This Policy
We may update this Booking & Event Policy from time to time. Changes become effective immediately upon posting to this page.
